Understanding IMAP vs POP
Why POP Mail Downloads Duplicate Emails
What Is POP Mail?
POP is an older email protocol designed for single-device access. It downloads mail from the server into your computer and does not sync changes back. POP does not understand shared folders, sent items or multi-device access.
Why POP Creates Duplicate Emails
POP can lose track of which emails it has already downloaded. If anything interrupts the process, Outlook may see older messages as “new” and fetch them again.
Duplicates are common when:
None of these issues are faults. POP simply does not have modern syncing intelligence.
Why POP Is Less Suitable Today
Email today is multi-device. Phones, laptops and webmail all connect to the same mailbox. POP cannot keep these in sync, so messages may download repeatedly or appear out of order.
Modern protocols like IMAP and Exchange actively sync everything across devices. POP does not.
Best Ways to Prevent Duplication
To avoid duplicates:
Even with the above steps, POP may still download duplicates occasionally.
Recommended Modern Alternative
If your POP mailbox is downloading the same emails more than once, nothing is broken. It is simply a limitation of using an older protocol.
For the best email experience:
Move to IMAP for reliable syncing and no duplicates.
